How it works
Hours saved a month = times per day × minutes each × working days × share automated ÷ 60. Money saved = hours saved × cost of one staff hour. Net saving a month = money saved − monthly running cost. Days of staff time = hours saved ÷ 8.
Payback in months = one-time cost ÷ net monthly saving; if the net saving is zero or less, it never pays back. Net saving in year one = net monthly saving × 12 − one-time cost. The calculator does not count fewer copying mistakes or faster replies to customers, which are often extra benefits.
How to use it
- Enter how often the task is done per day and the minutes each time.
- Enter working days a month, the share that can be automated and staff hour cost.
- Add the one-time automation cost and monthly running cost.

How do I calculate automation ROI?
Work out the hours saved each month, multiply by the cost of a staff hour, subtract running costs, then compare with the one-time setup cost. The calculator shows payback in months and the first-year net saving.
Which tasks should I automate first?
Start with the task your team does most often, not the hardest one. Copying enquiries, making bills, sending reminders and updating sheets are common first choices for many small businesses.
What if only part of the task can be automated?
Enter the share that can be automated. If 70% of the work can run by itself and people still handle the rest, the calculator counts only that 70% of the time as saved.
