Time and money leak calculator for small businesses
Every extra app, register or spreadsheet means copying, checking and switching. This free calculator estimates the staff hours and the sales you lose each month to scattered tools and enquiries nobody followed up. There is no sign-up, and your numbers stay on your device unless you choose to send them.
How it works
Staff time lost each month = apps × people × minutes lost per app per day × 22 working days ÷ 60. That gives hours, and the cost of that time is hours × the cost of one staff hour. The calculator assumes 22 working days a month, so if your business opens six or seven days a week, the real figure is likely higher.
Lost sales come from enquiries that go cold. Missed enquiries = monthly enquiries × the percentage not followed up. The calculator then assumes 1 in 5 of those would have become a customer if followed up, so lost value = missed enquiries × 0.2 × the first-year value of one customer. The monthly leak is staff cost plus lost sales, and the yearly leak is that total × 12.
How to use it
- Enter how many apps or registers you use daily and how many people use them.
- Add minutes lost per app, the cost of a staff hour and your monthly enquiries.
- Enter the share of enquiries not followed up and the value of one customer.
Questions
How do I estimate minutes lost per app?
Think about one normal day. Count the time spent re-typing the same customer details, searching old chats, checking paper registers and switching between apps. Divide by the number of apps. Five to fifteen minutes per app per person is a common starting guess, but your own count is better.
Why does it assume 1 in 5 enquiries would buy?
It is a simple planning assumption so the tool can put a value on enquiries that go cold. Your real conversion rate may be higher or lower. If you know it, adjust the value of one customer so the result matches your business more closely.
Is this calculator free, and is my data saved?
Yes, it is free with no sign-up. The calculation runs in your browser, and your numbers stay on your device unless you choose to share the result on WhatsApp, copy it, save a PDF or send it to us with the form.
How can I reduce the leak?
Keep records, bills and follow-ups in one place so nobody copies data twice. Reply to every enquiry quickly, use WhatsApp Business quick replies, and keep one shared customer list instead of numbers saved in personal phones.
