Meeting cost calculator
Every meeting has a price: the salary of everyone in the room for that time. Enter the people, average salary, length and how often it happens to see the cost per meeting, per week and per year. The calculator is free, needs no sign-up, and your numbers stay on your device unless you choose to send them.
How it works
Hourly cost per person = average monthly salary ÷ 176, assuming 176 working hours a month, which is 22 days of 8 hours. Cost of one meeting = number of people × hourly cost × meeting length in minutes ÷ 60. Weekly cost = cost of one meeting × meetings like it each week.
Yearly cost = one meeting × meetings per week × 48, assuming 48 working weeks a year. Hours each person spends a year = minutes ÷ 60 × meetings per week × 48. The cost counts salary only, not office costs or the work that was not done during the meeting, so the true cost is usually higher.
How to use it
- Enter the number of people in the meeting.
- Enter their average monthly salary and the meeting length in minutes.
- Enter how many meetings like this happen each week.
Questions
How do I calculate the cost of a meeting?
Work out each person's hourly cost (monthly salary ÷ 176), multiply by the number of people and by the meeting length in hours. Six people on 50,000 a month in a one-hour meeting cost about 1,705.
Why 176 hours and 48 weeks?
176 hours is 22 working days of 8 hours, a common monthly figure. 48 weeks allows for holidays and leave. Change the salary figure if your team works different hours.
How can we cut meeting costs?
Shorten meetings, invite only the people who must decide, and share updates in a written note or dashboard instead. Cutting a one-hour meeting to 30 minutes halves its yearly cost.
